What is a hotel PMS?

A property management system (PMS) is the software a hotel or guesthouse uses to run day-to-day operations — reservations, the room calendar, guest billing and front-desk tasks — in one place.

The short definition

A PMS is the central system hotel staff use every day: checking guests in and out, seeing which rooms are occupied, vacant or being cleaned, creating folios and invoices, recording payments, and keeping one calendar of every booking regardless of where it came from. Older PMS products ran as desktop software installed on one computer; most today are cloud-based and accessed from a browser or phone.

What a PMS typically includes

Common modules are the reservation/booking calendar, guest profiles, folio and invoicing, housekeeping status, rate plans and restrictions, and reporting. The scope varies enormously by vendor: a PMS built for a 300-room chain with point-of-sale, spa and accounting modules looks very different from a PMS built for a 10-room guesthouse that mainly needs a shared calendar and digital invoices.

PMS vs channel manager

A PMS runs your internal operations. A channel manager distributes your rates and availability to OTAs and pulls their bookings back in. Some properties use two separate products connected by an integration; some use one product that covers both, to varying degrees. The line has blurred in cloud software, especially tools built for smaller properties, which tend to bundle both functions under one login. See our channel manager glossary page for that side of it.

Signs a PMS is doing its job

No double entry

If the channel manager and PMS are separate products, you shouldn't have to type the same booking in twice.

One calendar staff trust

Nobody should need to check a second system to know which rooms are actually free.

Invoices that match what the guest paid

The numbers on the invoice should match the money that actually landed in the bank.

Permission levels by role

Front-desk staff and the owner shouldn't see the exact same screen.

How Prime Host handles this

One calendar, five views

Overview, timeline, classic grid, calendar and list. Drag to move a room, split a multi-room booking, handle an early check-out or a walk-in without breaking the sync.

Guest documents

Receipts, quotes and QR payment links generate in the browser, in Thai or English, with a link that shows when the guest opened it.

Staff permissions

11 separate permission switches, with 2 free staff seats, so front desk and the owner don't see the same thing.

Money that matches the bank

The finance page reconciles payouts against your actual bank transfer, and can import the OTA's own payout statement so the numbers match.

Frequently asked questions

What does PMS stand for?

Property management system — the software a hotel or guesthouse uses to run bookings, the room calendar, billing and front-desk work.

Do small guesthouses need a PMS?

Even at 5–10 rooms, a shared calendar and digital invoices beat a notebook. The scope you need is lighter than what a large hotel needs, but the basic benefit is the same.

Is a channel manager part of a PMS?

Sometimes bundled together, sometimes sold as separate products that connect by integration — it depends on the vendor.

Cloud PMS vs on-premise PMS?

Cloud PMS is accessed from a browser or phone and is usually a subscription. On-premise PMS is installed software, often tied to one computer or location.

How do I choose a PMS?

Match it to your property's size, check it keeps one real calendar across every booking source, check staff permissions, and check the price is based on your room count rather than a sales call. See our pricing page.
